How does SmartLink work?
SmartLink Installation
What is SmartLink?
OCS SmartLink is an application that automatically transmits your data to OCS via a secure, HIPAA-compliant network link. SmartLink is a free upgrade to OCS Connection clients*, simply complete and return the SmartLink Install Application Form.
What is available with your free SmartLink upgrade?
- Daily, automatic submission of data to OCS
- Daily, patient-level operational reports (i.e. Quality Assurance Reports, PPS Reimbursement Worksheet)

*Please note: - SmartLink is available as a free upgrade to clients who are complete Connection clients.
- Customers already using the OCS-DataExchange Retrieval Tool (DERT) do not need to upgrade to SmartLink.

How does SmartLink work?

SmartLink has two components:
SmartLink Extractor Service
|
|
|
- Automatically reads the data in your clinical application or MIS vendor database and creates a file of that data to be uploaded by the SmartLink Transfer Service to OCS
- This process is completed through a read-only query; at no time is the data in your database altered in any way
- Available only for compatible or fully supported vendors
- Contact OCS Client Services to see if your vendor is included

SmartLink Transfer Service
|
|
|
- Compresses and encrypts the files created by the SmartLink Extractor and then securely transfers them to OCS
- If your clinical application is not fully supported by SmartLink, this process will still allow you to automatically transfer data to OCS and receive the new QA Reports and Reimbursement Worksheet
- SmartLink Transfer can also be used to upload any standard OASIS export files and electronic claim files to OCS

SmartLink Installation
ATTENTION: You MUST contact OCS Client Services BEFORE installing SmartLink! To make sure your installation goes smoothly and your agency is setup appropriately, you must work with OCS Client Services.
Please complete the SmartLink Install Application Form and submit it to tech@ocsys.com or fax to 206.374.2920.

All clients will need the following information to install SmartLink:
|
|
|
1. |
Know which workstation or server will host the SmartLink application.
|
|
|
|
|
|
|
2. |
The network administrator will need to set up a domain user account with the following characteristics:
|
|
|
|
- Configured to run as a service
- Has a password that never expires
- Has access to the internet
|
|
|
|
|
|
|
3. |
If there is a proxy firewall on the network through which traffic must pass, we will need to know
|
|
|
|
- A domain user account name & password which has permission to pass through the firewall
- The domain name of the proxy server
- The port number SmartLink should use to access the Internet through the proxy firewall
- The IP address of the proxy firewall server
|
|
|
|
(Clients using SmartLink Transfer only, skip to #5)
|
|
|
|
|
|
|
4. |
Clients with compatible MIS vendor databases will also need |
|
|
|
- MIS database SQL authentication information for one of two authentication methods:
- NT authentication for the domain user account that is configured to run as a service
- A SQL account (that is not an "sa" account) set up with read-only access
- The name of the SQL server on which the MIS database resides
- The name of the MIS database
|
|
|
|

5. |
Clients submitting raw data files (OASIS export files and electronic claims) using SmartLink Transfer instead of connecting to the MIS database will need
|
|
|
|
- The full UNC path of the folder from which the OASIS export files should be collected
- Hint: Most likely the location where the MIS software exports the data. The person who submits this data to the state at your agency is often the best resource to locate these files.
- The full UNC path of the folder from which the EDI837-formatted electronic billing files should be collected
- Hint: Most likely the location where the billing software exports the data. The person who submits the billing data to the intermediary for reimbursement is often the best resource to locate these files.
- The domain user account created in step 2 to have full read/write access to the OASIS and billing data folders

Once you have completed and submitted the SmartLink install application form, gathered the above information, and talked with OCS Client Services, download the SmartLink Install Package and save it to the computer where the application will be installed.
ATTENTION: Do NOT continue installation without the direct instruction of an OCS Client Services Technical Support Analyst.
WARNING: Before installing SmartLink verify any previous versions of OCS SmartLink or OCS DERT have been uninstalled via Add/Remove Programs. Please check your windows service manager to make sure there are no services installed named OCS_SLT, OCS_DBX, OCS_DERT, or OCS SmartLink.
